Why Do Meta Numbers Not Match My CRM?
A discrepancy between Meta-reported conversions and your CRM is expected and normal -- up to a point. Understanding the mechanism tells you when to investigate and when to accept the gap.
What is actually happening
A 20-50% gap between Meta and CRM is normal. They measure fundamentally different things. Meta counts a conversion if someone clicked your ad in the last 7 days and then converted through any channel -- organic search, direct, email, branded search. Your CRM records last-touch. Both are correct; they answer different questions. An additional source of inflation: Meta's default 7-day click attribution counts non-outbound clicks -- likes, comments, image taps that do not send the person to your site. Someone who liked your ad Monday and bought via branded search Thursday appears as a Meta conversion without ever visiting your site from the ad. Switch to First Conversion reporting (versus the default All Conversions) to reduce this inflation significantly. A gap above 200% means double-counting or broken deduplication -- that requires investigation.
⚑ Most common wrong move
Using Meta numbers as source of truth for business and revenue decisions. Use CRM or your own backend as source of truth. Use Meta numbers to optimise within the platform -- they are directionally useful for campaign decisions even if they overcount absolute volume.
What to do
1Check what attribution window is active. The default 7-day click includes a lot of activity that would have converted regardless of the ad. Switch to 1-day click for a more conservative view.
2Switch reporting to 'First Conversion' instead of 'All Conversions' in Ads Manager. This removes the inflation from repeat conversions being counted multiple times.
3Add UTM parameters to all Meta ads. In your CRM, build a first-touch attribution field alongside last-touch. Present both to stakeholders -- they tell different stories that are both true.
4If the gap is above 200%: audit event deduplication in Events Manager → Diagnostics. A common cause is both browser pixel and CAPI firing for the same event without deduplication keys.
5Normal gap: 20-50%. Concerning gap: 50-100% (check integration sync and deduplication). Critical gap: 200%+ (audit immediately).
